Deputy Manager, Office of the Chief People Officer

Role Overview
As a Deputy Manager in the Office of the Chief People Officer, you will play a critical supporting role in ensuring the smooth operation of People Executive Team activities. Reporting to the Manager or Senior Manager, you will coordinate logistics, manage communications, and drive follow-up on operational tasks. This role is ideal for a highly organized, proactive professional who excels at multitasking, supporting senior leaders, and maintaining high standards of confidentiality and accuracy.
Key Responsibilities
Executive Support & Coordination
- Collaborate with the executive assistant to monitor the CPO’s calendar, ensuring all meetings are prepared with relevant materials and agendas.
- Support the planning and execution of weekly People Executive (PX) meetings, including scheduling, agenda preparation, and logistics.
- Capture and distribute meeting minutes, track action items, and follow up to ensure timely completion.
- Maintain and organize the Executive team’s SharePoint or equivalent site, ensuring reference materials, notes, and action items are up to date and easily accessible.
Communications & Liaison
- Partner with Internal Change Communications to review and distribute People & Operations messaging.
- Coordinate with the People Strategy & Transformation communications team to support the monthly People communications calendar.
- Serve as a point of contact for routine communications and updates, escalating complex or strategic matters to the Manager or Senior Manager as appropriate.
Operational Planning & Business Continuity
- Assist with the annual refresh of People Business Continuity Planning activities, in partnership with the Global Security Office.
- Support the coordination of crisis management activities, ensuring all documentation and communications are current.
- Prepare and update documentation for the DTTL Member Firm Standard 3 response, under guidance from senior team members.
Project & Initiative Support
- Provide project management support for operational initiatives led by PX leaders, including tracking deliverables, deadlines, and dependencies.
- Assist with the preparation of executive presentation materials, leveraging PowerPoint and Excel to create clear, concise content.
- Maintain confidentiality regarding sensitive data, project plans, and executive discussions.
Required Qualifications & Skills
- Bachelor’s degree required.
- Experience supporting senior leaders or executive teams in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Excellent time management and ability to juggle multiple priorities.
- Proficiency in Microsoft PowerPoint, Excel, and collaboration tools (e.g., SharePoint, Teams).
- Strong written and verbal communication skills.
- Ability to work independently and as part of a virtual team.
- Demonstrated critical thinking and problem-solving skills.
- Proven ability to follow through on tasks and drive completion of deliverables.
Preferred Qualifications
- Formal project management experience or certification (e.g., PMP, Prince2).
- Experience preparing executive-level presentations.
- Prior experience in HR, People Operations, or a similar function.
