Assistant Manager – IT Asset Management, CXO (CL4)

Work you’ll do

Assist and perform various Information Technology Asset Management (ITAM) processes, including the processing of computer orders, evaluating technology requests for escalation, procurement, processing request for payments, reporting, shipping and receiving.  Prepares preliminary data for ITAM reports for review by Regional Asset Manager. Coordinates with the ITAM team on day-to-day tasks must possess a good working knowledge of ITAM processes, the Leased Asset Management database (LAM), and the ability to provide daily status reports. This position must be able to prioritize tasks and work with some supervision and may serve as a back-up to the Lead or Senior Regional Asset Manager and interacts with technology support team and client service teams at all levels.

Responsibilities

·       Assist with asset management duties including processing of computer orders and requests for payments. Acts as back-up for lead and senior Regional Asset Manager and monitors asset management systems.

·       Must have a very good working knowledge of asset management processes. Prepares various Asset Management related reports. Provides appropriate data for each report and to help with analysis of trends.

·       Prepare purchase orders for laptop repairs. This includes reviewing price quotes received from vendors, creating Purchase Orders, and submitting invoices for payment. Works with vendor to assist with research to resolve delays on repairs or payments for repairs to be completed.

·       Assist with the preparation of inventory reports for management review. This includes Regional Stock levels, Laptop Utilization, and Inventory Status Reports. Coordinates with CXO Support leads to any discrepancies that need to be addressed and escalates to the Lead or Senior Regional Asset Manager. Coordinates with internal client of any pending assets needing to be returned.

·       Prepare laptop purchase orders using the in-house ordering system and submit orders directly to suppliers.  Works with vendors and carriers to assist with research to resolve shortages and missed or late delivery problems. Responds to requests from clients for order status, processes order changes and cancellations. 

·       Assist with the reconciliation          of employee separation reports and work with Regional Asset Manager and Talent to recover laptops from separating employees. This includes monitoring email mailboxes of Separation inquiries, monitoring of separations tracker and escalate issues to lead or Senior Regional Asset Manager, and creation of shipping labels.

·       Assist with the preparation of purchasing reports for management review. Monitors shipments and accuracy of orders and reconciles to purchase orders. Conducts research on orders, provides status to management, and works with vendors to reconcile purchase orders.

·       Assist with the evaluation of client requests and escalates with the regional asset manager to determine if additional approvals are required if appropriate.  Corresponds with internal clients at all levels and coordinates shipment of items to internal/external locations as requested by clients. Updates asset inventory status and location in the national asset management repository. Monitors and checks asset reports regarding shipping of firm assets and assignment compliance.

·       Works with lead and senior regional asset manager to ensure equipment availability for new hires program. Assist the lead with providing forecasting and planning for future sessions.

·       Assist with the preparation of disposition of assets from other regions in order to manage and balance inventory. Responsible for tracking USI laptops in the US and coordinating the end of lease returns to vendor. Must communicate with Local Asset Coordinators, CXO Support leads/ Regional Asset Manager.

·       Provide support to the Technology team as needed. Must be able to work with minimum supervision and prioritize tasks.

·       Work overtime and possible weekends/holidays as required.

·       Performs other job-related duties as assigned.

Required Technical Skills:

·       Superior customer service, communication skills and soft skills along with the ability to build rapport and strong business relationships with the user community.

·       Experienced in providing team support in a fast-paced environment.

·       Role requires the ability to interact with all levels in the organization including senior leadership.

·       Strong Organizational & Time Management Skills.

·       Experience with MS-Office products including MS Outlook, Excel, and Power BI.

·       Experience with SAP/LAM.

·       Ability to solve problems using Organizational, Time Management and Consultative skills

Education:

·       Bachelor’s Degree in a related Asset Management Field or related field.

Experience:

·       3-5 years equivalent work experience in asset management

·       Strong leadership and team management skills.

Location: Hyderabad 

Shift Timing: Shift between 2:00 PM to 11:00 PM IST
