Administrative Business Center - Project Coordinator - Analyst

The Administrative Business Center Coordinator (ABC coordinator) serves as the first point of contact in an internal virtual business center environment. Providing superior customer service and utilizing various communication platforms (e.g., MS Teams, Outlook email, and phone/chat application), you are responsible for ensuring successful workflow coordination of projects through scheduling resources, understanding internal client needs, and negotiating deadlines throughout the life cycle of a project. As an ABC coordinator, you are also responsible for, and dependent on, effective teamwork for fostering a positive and collaborative work environment while effectively leveraging resources without compromising quality. 

 

Work you’ll do

 

·       Effectively coordinate and monitor projects using online applications, such as ServiceNow and SharePoint:

o   Assess project requests, confirming that all necessary information is provided and validate the information provided for successful completion of the project. Ensure that requests align with the firm policies and brand standards. Contact internal client if additional information is required before routing to production.

o   Estimate time required to complete each request. Manage internal client expectations, negotiating deadlines when necessary.

o   Assign resources to projects based on skills and availability. Prioritize projects based on due dates and time estimates.

o   Ensure internal client requirements are clear. Review project specifications and internal client expectations with the Administrative Business Center leadership and/or assigned Administrative Business Center professionals, as necessary.

o   Monitor deadlines and ensure timely delivery of projects.

o   Coordinate final production with external print vendor or appropriate alternative, if requested.

o   Manage the transfer of documents to external print vendor for delivery of final products.

o   Provide re-directs for projects and inquires supported by other teams.

·       Build relationships using various communication mediums, with internal clients in all businesses at all levels, to ensure effective delivery of services.

·       Serve as a point of contact for internal clients regarding process, work requests, scheduling, and issue resolution.

·       Work closely and collaboratively with colleagues and other teams in a virtual environment.

·       Provide superior customer service using technology to answer internal client queries received via phones/chats, MS Teams, and/or email.

·       Perform other job-related duties, as assigned.

The team

 

The Administrative Business Center (ABC) provides remote administrative services to Deloitte professionals across all offices in a business center environment. Deloitte’s ABC team works on financial statements, proposals, letters, presentations, marketing materials, and client deliverables that must be error-free and of professional quality, meeting Deloitte brand standards.

 

Qualifications

Requirements:

  • A Bachelors degree in any stream (BA, BSc, BCom, BBA etc.,)
  • A minimum of 3 years’ experience in coordination or production management required, with a successful record in delivery and client satisfaction.
  • Superior customer service experience essential, with strong negotiation skills and the ability to manage priorities against tight deadlines.
  • Intermediate knowledge of Microsoft Office Suite applications; experience using tracking systems and database management a plus.
  • Experience and judgment to anticipate and address potential problems or questions regarding projects.
  • ·       Highly organized with the ability to effectively prioritize multiple tasks.
  • ·       Successfully work independently with minimal day-to-day supervision, in addition to working in a team environment to significantly contribute to the overall success of the team.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills, with the ability to build credibility and collaborate with firm personnel at all levels.
  • Experience communicating in a virtual environment utilizing workflow systems, MS Teams, email, and phone/chat application.
  • Detail-oriented with excellent follow-through skills.
  • Positive, professional attitude and presence.
  • Ability to communicate professionally during demanding situations, maintaining composure and resolving problems effectively and positively.
  • Flexibility to work overtime as required on both weeknights and weekends.
  • Corporate brand knowledge a plus.

 

Work Location: HyderabadA

Work Timing: 5:30 am 2:30 pm; 2 p.m. 11 p.m.; 6 pm 3 am; 9 pm 6 am (Rotational shifts)
