The IT Business Services (ITBS) portfolio consists of 50+ active projects with a portfolio value of ~£30m. The Project Controls Analyst is a member of the Project Management Office (PMO) team within ITBS Portfolio Management. PMO are responsible for defining and maintaining project management standards, processes, and methodologies, which help to ensure that projects are delivered consistently and efficiently across ITBS. We support project managers and other stakeholders by providing guidance, training, and tools to help them manage projects effectively.

As a Project Controls Analyst, you will play a critical role in supporting our PMO by providing essential support in core PMO processes and requests. You will be responsible for baselining change requests, setting up and closing projects within SLA, and ensuring that our projects are delivered to the highest quality standards.

But that's not all - you will also be a driving force behind our continuous improvement initiatives, helping us to identify areas for improvement and implement best practices. You will be inquisitive, continually challenging existing ways of working and seeking ways to improve, automate and streamline processes to drive efficiencies. You will collaborate with the wider Project Controls and Project Delivery team to identify opportunities and support the implementation of these initiatives across the portfolio.

Reporting to the PMO Portfolio Governance & Reporting Manager, the successful candidate will have the chance to contribute to the success of projects and drive efficiency within the ITBS portfolio.

Responsibilities include:

  • Ensuring projects are delivered to the highest quality standards by baselining change requests and setting up/closing projects within SLA.
  • Providing support for regular processes within PMO, e.g. Customer Satisfaction Survey, Benefits tracking, Watchlist reporting.
  • Identifying data quality issues and cleansing data to ensure accuracy and consistency within the portfolio data model.
  • Assisting Resource Management by maintaining access and permissions to data, tools, and distribution lists.
  • Maintaining accurate process documentation to ensure consistency, accuracy, and efficiency in the performance of PMO processes.
  • Maintaining the PMO SharePoint site with the latest project management tools and processes.
  • Contributing to continuous improvement initiatives and streamlining processes to drive efficiencies.
  • Exploring new or unused features in the UAT environment of our ServiceNow Strategic Portfolio Management (SPM) tool and providing feedback to help improve our ways of working.
  • Identifying opportunities to automate processes and developing solutions for our portfolio using Microsoft Power Platform (Power BI, Power Automate, and Power Apps).

  • Excellent verbal and written communication skills to convey information clearly, collaborate with team members, and present findings to stakeholders.
  • Strong organizational skills and the ability to prioritise tasks, manage multiple assignments simultaneously, and meet deadlines.
  • A keen eye for detail to ensure accuracy and quality in project documentation, reports, and data analysis.
  • Ability to adapt to changing priorities, project requirements, and work in a dynamic environment.
  • Basic understanding of project management principles and methodologies.
  • Strong problem-solving skills and a passion for continuous improvement.
  • Proactive and takes initiative to drive process improvements and streamline operations.
  • Technical proficiency with ability to effectively use common software tools like Microsoft Office (Excel, Word, PowerPoint).
  • Basic knowledge of SharePoint or similar document management systems.
  • Familiarity with Microsoft Power Platform (Power BI, Power Automate, and Power Apps) or willingness to learn.

Desirable

         A degree in a relevant field (e.g. IT, Project Management, Business)

         Basic understanding of Agile delivery techniques (Scrum, Kanban)

         Basic understanding of ServiceNow SPM and Azure DevOps
