Requirements:
• Bachelor’s degree in commerce or any other stream
• 2-3 years of administrative experience in a large corporate environment
• Superior customer service experience essential, with strong negotiation skills and the ability to manage priorities against tight deadlines
• Proficient knowledge of standard office equipment; Advanced Microsoft Office skills; Strong typing skills
• Task oriented and highly organized with the ability to prioritize effectively while working on multiple tasks
• Excellent interpersonal skills required, with the ability to build credibility and collaborate with firm personnel at all levels
• Detail oriented with excellent follow-through skills
• Excellent writing and grammar skills
• Excellent communication skills
• Positive, professional attitude and presence
• Project management experience a plus
• Ability to work in a virtual teaming environment
• Flexibility to work overtime as required on both weeknights and weekends
Job Summary:
The Administrative Assistant provides administrative support to Partners, Principals, Managing Directors (PPMD) and Senior Managers. Admin Assistants supporting Senior Managers operate virtually, while PPMD Admins provide in-person support. Position requires excellent communication, interpersonal and execution skills. The Admin Assistant is responsible for effective teamwork and communication, fostering a positive, collaborative work environment and effectively leveraging resources without compromising quality. This position requires knowledge of Microsoft Office.
Duties and Responsibilities:
• Performs a broad range of administrative tasks which may be highly confidential in nature, on a regular basis. Often handles highly sensitive and confidential information.
• Manages Leaders Calendar including setting up and rescheduling of meetings as required
• Compose and edit memos, letters, emails and other correspondence;
• Prepares and reconciles time and expense reports as well as performing audits as necessary
• Coordinates all aspects of travel arrangements for both domestic and international business travel including but not limited to booking flights, hotel and local transportation, providing agendas and itineraries, and arranging passport/visa requirements if necessary.
• Provide print services, submit and manage job request through Document Creative Services
• Manage Events, Leadership & Client visits
• Produce quality work in a fast-paced environment meeting deadlines as well as stakeholder expectations for quality and accuracy; effectively re-negotiate deadlines when necessary
• Work independently and accurately assess requirements for each project; be able to communicate effectively with stakeholders when there are questions or issues to be addressed • Build relationships, using various mediums, with stakeholders in all functions at all levels, and assure effective delivery of services
• Coordinate work with other national and local teams virtually and in person
• Performs other job-related duties as assigned
