Position Summary

Job Description – Office Experience Jr Block Lead

Key job responsibilities include the following.

·       Conduct walkarounds daily and share observations with relevant stakeholders (RES/OoS/Builder, etc.) for action.

·       Validate manpower for the previous day against the approved headcount and immediately inform the Block Lead of any deviations on a daily basis.

·       Review the event schedule for the next day and coordinate with the MMS team to prevent overlapping reservations.

·       Ensure setup and logistical arrangements are completed for the next day in all event spaces, including TRG/CR/Auditorium.

·       Oversee all allied services (Mailroom, Healing room, Mother’s room, Cloak room, Keyroom): i) Audit attendance as per SLA and check process implementation. ii) Monitor Mailroom operations and validate invoices. iii) Ensure service providers are available. iv) Inspect the Healing room daily and escalate any issues to the Block Lead for resolution. v) Validate the EHS report for the ambulance daily. vi) Ensure recreational and gym spaces are staffed as per SLA and manage inventory. vii) Manage Keyroom inventory and perform monthly reconciliation, reporting to the Block Lead in the first week of each month.

·       Ensure staff deployment at the cloakroom is as planned and registers are maintained.

·       Frequently check HK equipment to prevent breakdowns that could impact operations.

·       Inspect all OE Stores as per the calendar and share reports with the Block Lead weekly/monthly.

·       Attend HK briefings at least twice a week to understand staff concerns.

·       Inspect the staff cafeteria and vendor changing rooms for upkeep.

·       Implement and track the 52-week calendar on the ground, ensuring timelines are met.

·       Audit HK chemical consumption reports to ensure dilution complies with MSDS and 6S standards.

·       Track vendor staff training status on mandatory and Office of Security safety training monthly, reporting in the first week of each month.

·       Participate in weekly SLA/6S/Photo audits for all service providers and address observations.

·       Track ServiceNow ticket closures daily and escalate support needs to the Block Lead.

·       Manage vendor material procurement following company processes.

·       Conduct biweekly checks with the Block Lead on completed tasks and action plans for pending items.

·       Complete all mandatory training on time and share completion certificates with the Block Lead for records.

4-5 years of experience with knowledge of Facility management preferably in a global organization. Must have experience managing vendors, facility, projects and dealing with leaders, professionals & clients.

Other details

Work timing

9-hour shifts spanning different times during a week with 5 days of work in office. Also has night shifts depending on requirement.

Travel

Will not require to travel between sites.
