Meeting & Event Services (MES) – DU Scheduling and Meeting Coordinator (CL3 - Analyst/Sr. analyst)
Roles and Responsibilities:
Scheduling:
· Works with the DU India Scheduler to develop and implement short and long-term strategies to optimize training rooms utilization.
· Works with the DU India Scheduler in the annual scheduling exercise to allocate training rooms for all DU India meetings/events.
· Oversee daily functioning of the scheduling department and manage training rooms allocation for all meetings/events at DU India.
· Monitor DU India Scheduling mailbox regularly and respond to emails within the predefined timeline.
· Consult DU India scheduler and apprise any ad-hoc meeting requirements for space allocation.
· Apprise DU India Scheduler of any critical, unforeseen situations and seek direction to mitigate risks and resolve issues.
· Evaluate challenges with space allocations, providing solutions and negotiating conflicts effectively with planners and key stakeholders to ensure all program requirements are met.
· Review and analyze new meeting requests with the scheduler and allocate spaces keeping in mind the DU India scheduling guidelines.
· Proactively review space assignments on pre-defined timelines and make necessary changes, to ensure operational effectiveness and enhance DU experience.
· Ensure end-to-end program pax count, update Planners about the same and ensure that SUMMIT and INFOR are updated.
· Work with DU India Scheduler for periodic reports.
Meeting Coordination:
· Ensure all MES tools are updated with appropriate data and work closely with MES DU India Planners and Coordinators to update any changes/additions.
· Liaison between MES DU India Planners and DU India operations team with effective and timely communication of changes in space allocation.
· Vetting of monthly/quarterly/half-yearly programs confirmation from program teams and communicate to planners/coordinators accordingly.
· Liaison with MES DU India Planners/Coordinators about program residential elements, with consultation from DU India Scheduler.
· Support MES DU India Planners with on-site meeting support whenever required.
· Coordinate with MES DU India Registration Specialists about any critical meeting update.
· Provides assistance with project support as needed.
Key skills preferred are as follows:
· Bachelor's degree in hospitality, hotel management or related field
· Relationship Management: Ability to build relationships and trust quickly with regional leadership and stakeholders.
· Excellent communication skills (written and oral) with a consultative style
· Proven problem-solving skills and ability to think strategically.
