Finance & Shared Services

The Finance & Shared Services team offers comprehensive support to both our client-facing and internal service lines. This includes various functions such as management & financial reporting, budgeting, forecasting, accounts payable, debtor management, payroll, data quality, finance system support, and Business Intelligence development.

Furthermore, within FSS, we have subsidiary teams dedicated to ensuring client service excellence through independence and compliance checks. Our client contract management team provides specialized support to our strategic clients, assisting with reporting, contract reviews, and addressing their ad hoc queries.

Additionally, we have a presence in the human resources domain, known as People & Performance Transaction Services (PPTS). Recently, we have expanded into Information Technology Services as well.

Workforce Management

Each member of our team is a trusted advisor ensuring that the right people are on the right jobs at the right time. Our key responsibility is to ensure the optimal resourcing solution for the client, the business and the individual in a timely and commercially sound manner, which includes managing leaves, public holidays, study leaves, and training within the Resourcing system. The Workforce Management team manages the allocation of practitioners on client work, influences capability development for individuals across the business while also providing strategic recommendations and resourcing insights to the leadership team. Additionally, the team handles data management, reporting and analysis, onboarding communication, and oversees Contract Management, all while processing engagement budgets and resolving scheduling conflicts efficiently. We work in collaboration with other key partners such as Talent, Finance and Talent Acquisition.

What will your typical day look like?

The Workforce Management function is a function within the T&T Enabling Areas team. You will proactively work with the business to manage demand, supply and capability: allocating staff on engagements, identifying the most suitable person (skills and career aspirations) for the engagements as well as focusing on profitability and client service delivery. You will report to the Director of Workforce Management Australia and will lead the Workforce Management GDN team.

Work you’ll do

The Deputy Manager role is a critical role to continue driving the T&T Workforce Management strategies related to demand, supply and

capability. The Deputy Manager will be responsible for the day-to day management and consultative functions associated with deployment

such as scheduling live updates, extracting data to prepare reports for the business unit and other ad hoc tasks. The position will require strong stakeholder management, excellent problem-solving skills and attention to detail.

  • Lead a team of 4-5 Workforce Management professionals.
  • Oversee performance management of team members and conduct monthly check-in discussions.
  • Define and manage process KPIs, ensuring teams consistently meet them. Periodically revisit and redefine KPIs every 6-12 months to align with business strategic expectations.
  • Monitor STAFFIT mailboxes to ensure timely completion of scheduling requests, including leave, training registrations, general schedule updates and pricing tools.
  • Facilitate and contribute to the weekly resourcing calls and meetings in relation to the allocation of practitioners for the relevant offering.
  • Provide accurate and timely reports to leadership, including data analysis and insights.  This includes but is not limited to weekly management reports, variance, utilization and adhoc reporting.
  • Conduct due diligence on Talent headcount check to verify the accuracy of profiles, cost center and staff levels.
  • Adapt to changing work environments, work under pressure with a sense of urgency, and meet tight deadlines.
  • Possess hands-on experience with firm applications such as STAFFIT, Day Shape or E time Resourcing, Cirrus and COGNOS.
  • stakeholder relationships by attending weekly, bi-weekly, and monthly meetings to coordinate with clients and engagement teams, track progress against goals, and provide regular updates to management.
  • Drive process excellence and standardization by regularly reviewing existing processes and enhancing team efficiency. Document Standard Operating Procedures (SOP) for various projects.
  • Track and monitor the team’s utilization and time allocation to support strategic and tactical planning decisions.
  • Define and maintain standards for all tasks, ensuring seamless delivery of reports, templates, SOPs, data files, and automation elements.
  • Understand business reporting requirements and create dashboard reports for leadership.
  • Ensure the quality of deliverables executed by team members.
  • Recruit, engage, develop, and motivate team members.
  • Maintain strong working relationships with AU stakeholders and EDC counterparts.
  • Manage performance evaluations of team members and provide timely rewards.
  • Promote best practices, drive innovations, and facilitate knowledge sharing among team members.
